PRACTICE AREA: PERSONAL INJURY

Personal Injury Dictation Software

For personal injury and medical malpractice lawyers who dictate demand letters, treatment summaries and case memos. Speech is recognized on your own Mac or Windows PC.

Last updated 21 October 2026.

A personal injury file is mostly reading and summarizing. Records come in from every provider the client saw, and someone has to turn them into a chronology, then a demand, then a mediation statement. Dictation helps most at the summarizing step, where you already know what you want to say and typing is the slow part.

The documents PI lawyers dictate

  • Demand letters. Liability, injuries, treatment, specials, the demand. Most firms keep the structure fixed and dictate the facts.
  • Medical chronologies. One entry per visit: date, provider, complaint, findings, treatment, next step. Dictating while the record is open beside you is faster than typing between two windows.
  • Deposition summaries. Legal Edition includes a Deposition Summary template with sections for the witness, key testimony, contradictions and follow-up.
  • Intake notes. The Client Intake template covers client details, case type, key facts, opposing parties and relief sought.
  • Malpractice case memos. Standard of care, breach, causation, what the expert reviewer needs to see.

Worked example: the liability paragraph of a demand letter

  1. Open the demand letter in Word and put the cursor under the Liability heading.
  2. Press your hotkey and say: "On March 14 comma 2026 comma your insured ran the red light at Main and Fifth and struck our client's vehicle on the driver side period Two independent witnesses confirm the signal was red period Under the doctrine of comparative negligence comma no fault can be assigned to our client comma who entered the intersection on a green light period new paragraph Our client was taken by ambulance to County General comma where CT imaging showed a C5 C6 disc herniation period"
  3. Press the hotkey again. VoicePrivate recognizes the audio on your computer and pastes two paragraphs at the cursor: "On March 14, 2026, your insured ran the red light at Main and Fifth and struck our client's vehicle on the driver side. Two independent witnesses confirm the signal was red. Under the doctrine of comparative negligence, no fault can be assigned to our client, who entered the intersection on a green light." and "Our client was taken by ambulance to County General, where CT imaging showed a C5 C6 disc herniation."
  4. Check the date, the 2 witness references and the C5 C6 level against the file before the letter goes to the adjuster.

Text arrives when you stop, not word by word as you talk. Names, dates and dollar figures are the things to check against the file every time.

PI terms the Legal Edition knows

The Legal Edition dictionary has 12,000+ legal terms. Each entry lists the near misses it corrects, so a phonetic spelling is changed to the right term after recognition. A few from the personal injury side:

TermNear misses it corrects
res ipsa loquiturres ipsa loquitor
tortfeasortortfeezer, tort feasor
subrogationsubrogashion
collateral source rulecolateral source rule, collateral sorce rule
loss of consortiumloss of consortion
prima facieprima facey, prima facia
remittiturremittiter
respondeat superiorrespondeat superier
spoliationspoliashion

Provider names, adjusters and your clients are not in any dictionary. Add them to your Personal Dictionary once and they come out spelled the way you wrote them. Medical vocabulary in records belongs to the Healthcare Edition, so a PI firm that dictates heavy clinical detail can test both in the 30-day guarantee window.

A chronology entry as a shortcut

A text shortcut can hold blanks written in braces, such as {date}, {provider} and {findings}. Give the shortcut a spoken name, for example "chronology", and say "insert chronology" while dictating. The shortcut goes in with each blank shown as ___. Values you name as you speak fill their blanks, and anything you skip stays as ___ to complete by hand. Legal Edition also ships with shortcuts for a motion caption, a deposition header, a notice of appearance, a billing entry and a matter date note.

Into Clio, MyCase or your case management system

VoicePrivate pastes into whatever text field has the cursor. That covers Word, Outlook, and the note, email or document fields of web based case management systems such as Clio and MyCase. It does not log in to those systems or sync with them; it types where you are. If your firm works inside a remote desktop, the remote session needs clipboard sharing turned on for the paste to arrive.

What happens to the audio

Recognition runs on the lawyer's own computer. The audio is not sent to a server for transcription, and there is no cloud transmission of what you dictate. That matters when you are reading medical records aloud. Your firm still decides who reviews drafts and where the finished documents are stored. If you record client calls, VoicePrivate can transcribe the audio file (MP3, M4A, WAV, FLAC, OGG or AAC) on the same computer; recording consent is your call under your state's rules.

Personal injury dictation: questions

Can I dictate a medical chronology with VoicePrivate?

Yes. Dictate one entry per record with the record open beside you, or build a text shortcut with blanks for date, provider and findings and insert it by voice. The text is pasted at your cursor in Word or your case management system.

Does VoicePrivate integrate with Clio or MyCase?

It does not connect to your account. It pastes the dictated text into the field where your cursor is, which works in the note and document fields of web based systems like Clio and MyCase as well as Word and Outlook.

Does it work for medical malpractice cases?

Yes. The legal dictionary covers terms such as standard of care, proximate cause and res ipsa loquitur. Add expert and provider names to your Personal Dictionary so they are spelled correctly.

Can it transcribe recorded client calls or statements?

It transcribes MP3, M4A, WAV, FLAC, OGG and AAC audio files on your computer. Getting consent to record is up to you under your state law.

Is client audio uploaded anywhere?

No. Speech is recognized on your own computer, and the audio is not sent to a server for transcription.
