Workers' Compensation Dictation Software for Intake Notes, Claim Letters and Medical Report Reviews

For claimant and defense lawyers who handle work injury claims. VoicePrivate recognizes your speech on your own Mac or Windows PC and pastes the text where your cursor is.

Last updated 28 October 2026.

Workers' compensation dictation software turns what you say into text in an injured worker's intake note, a letter to the adjuster, a review of a medical-legal report or a memo on a settlement. VoicePrivate Legal Edition does it on your own Mac or Windows PC: press the hotkey, speak, press it again, and the text is pasted at your cursor. Its legal dictionary already holds the words a comp file runs on, such as date of injury, maximum medical improvement and permanent partial disability, so they come out spelled right. If you searched workers compensation transcription, VoicePrivate also transcribes recordings you already have, on your computer.

What workers' compensation lawyers dictate with VoicePrivate

A workers' compensation file is mostly narrative: how the injury happened, what the doctors said, and what the worker can still do. These are the documents claimant and defense lawyers dictate in VoicePrivate:

  1. Intake notes. The date of injury, the job, how it happened, who was told and when, and the treatment so far.
  2. Letters to the adjuster, the employer or the claimant. Requests for records, benefit disputes and status letters to the client.
  3. Medical report reviews. Your summary of a treating doctor's note, an independent medical exam or a QME or AME report, and the questions it leaves open.
  4. Hearing and deposition preparation. Outlines for the worker's testimony and summaries after the deposition, which the Deposition Summary template structures.
  5. Settlement memos. The impairment rating, the future medical picture and your recommendation to the client or the carrier.

State and federal workers' compensation systems

Most workers' compensation claims are state claims. The U.S. Department of Labor tells people injured while working for a private company or a state or local government agency to contact their state workers' compensation board. The Department's Office of Workers' Compensation Programs runs 4 federal programs instead: federal employees, nuclear weapons workers, coal mine workers, and longshore and Defense Base Act claims. The VoicePrivate dictionary knows the federal maritime statute by name, Longshore and Harbor Workers Compensation Act, and its abbreviation LHWCA.

The Longshore Act's deadlines depend on the claim. Under 33 U.S.C. 912, injury notice is generally due within 30 days after the injury or after the worker knew or should have known it was work related. Certain occupational diseases have a one-year notice period, and missed notice does not always bar a claim. Under 33 U.S.C. 913, a claim is generally due within 1 year after the worker knew or should have known of the work connection. Certain occupational disease claims have a two-year period, and other exceptions may apply. For permanent partial disability, 33 U.S.C. 908 pays 66 2/3 percent of the average weekly wage for a set number of weeks: 312 for an arm, 288 for a leg and 244 for a hand. State deadlines and schedules differ, so check the law that applies to the claim.

Worked example: a workers' compensation intake in VoicePrivate

  1. A dock worker, Luis Ortega, hurt his right shoulder on Tuesday, September 8, 2026 and comes in on September 21. In VoicePrivate, click Templates, then Client Intake.
  2. Click the microphone next to Client Information and say: "Luis Ortega comma longshore worker at Bayside Terminal comma right handed period" Click it again to stop.
  3. Under Case Type, say: "Workers compensation comma Longshore and Harbor Workers Compensation Act claim period"
  4. Under Key Facts, say: "Date of injury September 8 comma 2026 period Right shoulder injured lifting a lashing bar period Told his supervisor the same day period Not yet at maximum medical improvement period"
  5. Under Opposing Parties, say: "Bayside Terminal and its carrier period" Under Relief Sought, say: "Medical treatment and disability benefits period" Then click Assemble Document and Paste to App.
  6. For this example, if the worker knew the injury was work related on September 8 and no exception applies, calendar Thursday, October 8, 2026 for notice and Wednesday, September 8, 2027 for the claim. Confirm the applicable start dates and exceptions before relying on either.

The Legal Edition starts with automatic punctuation off, so you say "comma" and "period" yourself. Turn it on in Settings, then Transcription, if you would rather have punctuation added for you. The names and facts in this example are made up.

Workers' compensation terms VoicePrivate already knows

The claimant, the employer, the carrier and the treating doctors are the part no dictionary can know. Add them to your Personal Dictionary, or use Terms from your documents: VoicePrivate reads a matter folder on your computer (up to 500 files, 25 MB each, including PDFs and Word files) and lists the names it finds, so you can tick the ones to keep.

Medical-legal reports and VoicePrivate

Medical evidence decides most workers' compensation disputes. In California, the Division of Workers' Compensation certifies Qualified Medical Evaluators, physicians who examine injured workers to evaluate disability and write medical-legal reports used to decide eligibility for benefits. Under 8 CCR 38, a QME, Agreed Panel QME or AME report is due within 30 days after the evaluator has seen the employee, with a 15-day extension for good cause, or up to 30 more days when test results or a consulting physician's report are needed.

When the report arrives, lawyers on both sides dictate a review in VoicePrivate: the impairment rating, whether the worker has reached maximum medical improvement, apportionment and what to ask in a supplemental report or a deposition of the doctor. VoicePrivate types what you say. It does not read the report, rate the impairment or decide what the review says. Physicians who write the reports themselves would look at the VoicePrivate Healthcare Edition for orthopedic dictation, since its dictionary is medical rather than legal.

Workers' compensation transcription in VoicePrivate

If you searched workers compensation transcription for a service that types up work comp reports or depositions, VoicePrivate is not that; it is software you run on your own computer. If you mean transcribing workers' compensation recordings, VoicePrivate transcribes an audio file you already have: a recorded statement, a client meeting or your own memo after a hearing. Import a WAV, MP3, M4A, FLAC, OGG or AAC file (WMA too on Windows). For several voices, turn on Speaker labels and set Number of speakers from 2 to 6; the turns come out as Speaker 1, Speaker 2 and so on, and you replace the numbers with names. VoicePrivate never records a call, a statement or a meeting on its own. Olympus and Philips DSS or DS2 recorder files need saving as WAV or MP3 in the recorder's own software first. A transcript you make this way is a working copy, not a certified deposition transcript from a court reporter.

Where VoicePrivate puts workers' compensation text

VoicePrivate pastes at the cursor, so the text goes into Word, Outlook, a state agency's web form you are filling in, or the matter notes in Clio, MyCase or another browser based system. It does not connect to those accounts, and it does not file a claim form, an application or a petition with any board or the Department of Labor by itself. The built-in /datenote shortcut puts a dated matter header at the top of a file note, and /billentry adds a time entry line.

On-device recognition for workers' compensation files

Workers' compensation files carry medical records, diagnoses, wage statements and Social Security numbers. With VoicePrivate, speech is recognized on your own computer. The audio is not sent to a server and there is no cloud transmission of the dictation. Your firm still decides where drafts, recordings and medical records are stored and who can open them.

Who VoicePrivate is not for in workers' compensation practice

  • Firms that want a typist to turn tapes into finished reports. VoicePrivate does not send work out; a human transcription service does, and attorney dictation services vs software compares the two.
  • Anyone who needs a certified deposition transcript. That comes from the court reporter who took the deposition, not from dictation software.
  • Lawyers who want words on screen while they talk. VoicePrivate pastes the text when you stop; there is no live typing.

VoicePrivate Legal Edition covers every practice area with one dictionary; see legal dictation software for every practice area for the others. Work injuries caused by someone other than the employer are often personal injury claims too, which personal injury dictation for demand letters and medical chronologies covers, and retaliation after a claim is an employment law dictation question. For recordings, legal transcription software for Mac goes further, and best dictation software for lawyers in 2026 compares the tools.
