A defense caseload runs on notes written fast. You come out of a jail visit with twenty minutes of what the client told you, you watch body camera footage with a timestamp list growing beside it, and the motion to suppress is due Friday. Typing is the bottleneck for all three.

Three jobs, three ways to dictate
Client memos. Dictate straight after the meeting while it is fresh: what the client said happened, witnesses to find, questions for the next visit. If you dictate into a phone or handheld recorder on the way out, VoicePrivate transcribes the file later on your computer (MP3, M4A, WAV, FLAC, OGG or AAC).
Discovery review. Keep the video player and a document side by side. Pause, press the hotkey, say "14 minutes 32 seconds comma officer states he smelled marijuana before the door was opened period", press again, and keep watching. The note lands at the cursor and you have a timestamp list for the motion.
Motions and memos. The facts section is where dictation pays off. Legal Edition includes a motion caption shortcut that puts in the court, case number, parties and the opening "COMES NOW" paragraph with blanks for you to fill.
Example: the facts section of a motion to suppress
- Say "insert" and the spoken name you gave the motion caption shortcut. The caption goes in with ___ for the court, case number, parties and motion type.
- Fill the blanks, move the cursor to the Statement of Facts and press your hotkey.
- Say: "On June 3 comma 2026 at approximately 11 40 PM comma Officer Ruiz stopped Mr. Hall's vehicle for a lane violation period The report states no basis for extending the stop period Officer Ruiz held Mr. Hall for 22 minutes waiting for a canine unit period"
- Press the hotkey again. The paragraph is pasted at the cursor. Check the date, the time and the 22 minutes against the report and the video before you cite them.
Criminal law terms
The Legal Edition dictionary has 12,000+ legal terms and corrects near misses after recognition. Some that come up every week in defense work:
| Term | Near misses it corrects |
|---|---|
| voir dire | vwar deer, vor dire |
| mens rea | menz rea, mens raya |
| actus reus | actus rayus, actus reous |
| nolle prosequi | nolly prosequi |
| in limine | in liminy, in liminay |
| habeas corpus | habeus corpus, habeas corpis |
| Terry stop | Terri stop |
| Miranda | Maranda, Mirinda |
| exculpatory | exculpotory, excuplatory |
It also has motion to suppress, Franks hearing, fruit of the poisonous tree, allocution, plea colloquy, speedy trial, recusal and sentencing guidelines. Case names you cite often, such as Brady and Giglio, are worth adding to your Personal Dictionary along with officers, detectives and your clients.
Where the text goes
VoicePrivate pastes into whatever field has the cursor: Word, Outlook, a PDF form field, or the notes in your case management system in a browser. It does not connect to any system account. Public defender offices that work inside a remote desktop need clipboard sharing allowed in that session for the paste to arrive.
Audio stays on the computer
What a client tells you after arrest is the most sensitive thing in the file. With VoicePrivate, speech is recognized on the computer you dictate on. The audio is not sent to a server and there is no cloud transmission of the dictation. Your office still controls where the memos are saved and who can open them.
