Dictation for Doctors: Physician Dictation Software That Runs on Your Own Computer

Dictation for doctors means speaking the note instead of typing it. This page covers how physicians dictate today, what physician dictation software has to handle, and how VoicePrivate Healthcare Edition does it on your own Mac or Windows PC, with the audio processed on the device.

Dictation for doctors in short

  • What it is: a doctor speaks the progress note, letter or report, and software or a transcriptionist turns it into text that the doctor reviews and signs.
  • The three routes today: record and send to a transcriptionist, live speech recognition that types into the EHR, or an ambient AI scribe that drafts the note from the visit.
  • Where VoicePrivate fits: live dictation with 74,000+ medical terms that types into whichever app has focus. Speech recognition runs on your computer, so the audio never goes to a VoicePrivate server.
  • What it costs: $34.99 a month or $297 a year for Healthcare Edition, with a 30-day money-back guarantee on individual plans. No setup fee and no free trial.

What doctors dictate

Doctors dictate the documents they would otherwise type after the patient leaves. The note is already composed in their head, and speaking it is faster than typing it. The common ones:

  • Progress notes and SOAP notes for follow-up visits.
  • History and physical (H&P) notes for a new patient or an admission.
  • Consult and referral letters to another physician.
  • Operative and procedure reports, dictated after the case.
  • Discharge summaries and patient letters.

VoicePrivate's guide to what a medical dictation is and how the traditional workflow runs covers the history. This page is about choosing how you dictate now.

Three ways doctors dictate today

Physician dictation now runs through one of three routes, and they differ most in when the text appears and where the audio goes.

RouteExamplesWhen the text appearsWhere the audio goes
Recorded dictation plus a transcriptionistHandheld recorder, phone dictation line, transcription serviceHours or days laterTo the transcription service
Cloud speech recognitionDragon Medical OneAs you speakTo the vendor's cloud for recognition
Ambient AI scribeFreed, VoiceboxMD's scribe plansAfter the visit, as a draft noteThe whole visit conversation, to the vendor
On-device dictationVoicePrivate Healthcare EditionAs you speakNowhere: recognition runs on your Mac or PC

A scribe and dictation are different jobs. If you want the note drafted from the conversation, VoicePrivate's explainer on how AI medical scribes work and what they cost covers that choice. If you want to say the note yourself and see it typed, read on.

What physician dictation software has to handle

General dictation tools get the everyday words right and the clinical ones wrong. For a doctor, these are the parts that matter, and how VoicePrivate Healthcare Edition handles each:

  • Medical vocabulary. 74,000+ built-in medical terms, including medications, diagnoses and DSM-5 codes, plus your own words in a personal dictionary.
  • Drug names and doses. Brand names such as Eliquis, Xarelto and Lasix are spelled as you say them, and a brand is not swapped for the generic. Doses are written as doses: "zero point two five milligrams" becomes "0.25 mg".
  • Vitals by voice. Say "insert vitals BP 120 over 80 heart rate 72" and the values go into the blanks.
  • Templates. Say "slash soap" or type /soap to insert a full SOAP note template.
  • Any EHR. Text goes into whichever window has keyboard focus: an EHR desktop client, a browser portal or a letter. There is no plugin to install.
  • Mac and Windows. Native apps for macOS 13 or later and for Windows 10 version 1903 or later and Windows 11.

The full list is on the Healthcare Edition features page.

Where the audio goes when a doctor dictates

With cloud speech recognition and ambient scribes, your voice is sent to the vendor to be processed. With VoicePrivate, speech recognition runs on your own computer, the medical dictionary sits on the local disk, and dictation keeps working with the network switched off. Licensing, downloads and updates use the internet. Dictation does not.

Once the text is in your EHR, it is stored there like any other note, under your EHR's own terms. VoicePrivate's comparison of cloud and local medical dictation goes through the trade in detail.

How to dictate a note with VoicePrivate

  1. Click into the note field in your EHR or document.

  2. Press the hotkey and speak the note: Command+Shift+Space on a Mac, Ctrl+Shift+Space on Windows.

  3. Read it back and check drug names, doses and laterality before you sign.

  4. Add your own words, such as colleague names, to the personal dictionary so they come out right next time.

VoicePrivate does not navigate the chart or fill structured EHR fields by voice. If you drive Epic by voice command, that is Dragon Medical One's strength. On a Mac, where Dragon Medical One has no native app, VoicePrivate's medical dictation software for Mac page covers the setup.

Dictation for doctors: frequently asked questions

What is the best dictation software for doctors?

It depends on the job. If you want the visit recorded and the note drafted for you, that is an ambient AI scribe. If your hospital runs Epic by voice, Dragon Medical One is built for that. If you already know what the note says and want it typed into the EHR as you speak, with the audio processed on your own Mac or Windows PC, VoicePrivate Healthcare Edition does that for $34.99 a month or $297 a year.

What is physician dictation software?

Physician dictation software turns a doctor's spoken note into text. Live dictation software types the words into the EHR or document as you speak. Older systems record the audio and send it to a transcriptionist, and ambient AI scribes record the whole visit and draft the note.

Do doctors still dictate their notes?

Yes. Many doctors still dictate, especially long documents such as consult letters, operative reports, radiology reads and discharge summaries. What has changed is that more of them dictate live into the EHR instead of recording audio and waiting for a transcriptionist.

Can doctors dictate on a Mac?

Yes. VoicePrivate Healthcare Edition has a native Mac app for macOS 13 or later and a Windows app for Windows 10 version 1903 or later and Windows 11. Dragon Medical One has no native Mac app.

Does dictation for doctors work offline?

Cloud speech recognition needs an internet connection to turn speech into text. VoicePrivate Healthcare Edition recognizes speech on the device, so dictation keeps working with the network switched off. Licensing, downloads and updates use the internet.

How much does physician dictation software cost?

Dragon Medical One is $99 per provider per month on a 12 month term plus a $525 one-time fee, per the reseller Dictation Direct, checked 28 September 2026. VoiceboxMD's plans start at $49 a month, per its physician dictation page, checked 13 October 2026. VoicePrivate Healthcare Edition is $34.99 a month or $297 a year, and individual plans come with a 30-day money-back guarantee. There is no free trial.

Is dictation the same as an AI medical scribe?

No. With dictation the doctor speaks the note and reviews the text. An ambient AI scribe listens to the whole patient visit and writes a draft note from the conversation. VoicePrivate is dictation software. It does not record the visit.
