Financial Advisor Dictation for Client Notes
That Carry Fiduciary Weight
Reg BI suitability documentation, CRM notes, portfolio reviews, and Form ADV correspondence contain client financial data that advisors are obligated to protect. When that dictation goes to a cloud vendor, the vendor processes what should stay between you and your client. VoicePrivate keeps it all on your device.
Client notes, fiduciary obligations, and the cloud vendor problem
SEC Regulation Best Interest requires broker-dealers to document their suitability reasoning for retail client recommendations. The Investment Advisers Act creates similar documentation obligations for RIAs. Both regimes mean that advisor notes about client portfolios, financial situations, and investment recommendations are records with real compliance significance.
The problem with using a cloud dictation tool for this documentation is straightforward: the cloud vendor receives every word you say. Client name, account balances, risk tolerance, current holdings, retirement goals, health concerns affecting financial planning - all of it captured in audio and transmitted to infrastructure you don't control. The client consented to share this information with their advisor, not with a transcription service.
FINRA record retention rules (Rule 4511) also create questions when cloud audio is involved. If the audio itself constitutes a record of client communication, then the cloud vendor holds business records subject to FINRA retention requirements. Most advisors using consumer cloud dictation tools have not thought through these implications.

Financial advisor dictation workflows
Meeting notes and CRM updates
After a client review, dictate the meeting summary directly into your CRM. Goals discussed, portfolio changes requested, concerns raised, follow-up items committed - all captured in seconds. Client financial details stay on your device throughout.
Recommendation documentation
Dictate Reg BI suitability reasoning for each recommendation: the client profile facts considered, alternatives evaluated, and best-interest rationale. Investment terminology - expense ratios, risk-adjusted returns, tax efficiency, time horizon - all recognized accurately.
Plan narrative dictation
Dictate financial plan sections covering retirement income projections, Social Security optimization analysis, required minimum distribution planning, Roth conversion strategies, and tax-efficient withdrawal sequencing. Dense planning vocabulary handled without custom configuration.
Portfolio analysis memos
Narrate annual portfolio review assessments - performance attribution, asset allocation drift, rebalancing rationale, and market commentary. Document your investment rationale in your words, not a template, while the vocabulary is handled by VoicePrivate.
Form ADV and disclosure documentation
Dictate Form ADV delivery confirmations, conflict of interest disclosures, and compliance review memos. Regulatory documentation language involving fee disclosures, fiduciary obligations, and investment policy statement updates is included in the vocabulary set.
Client home visits and offsite meetings
VoicePrivate works fully offline. After a home visit with a client, dictate your notes in the car or on the way back to the office. No internet connection needed, no cloud upload happening in the background when you're in a client's home.
